Planning for the Unexpected: Four Details that Go Overlooked at Events

While you’re going through your event plan dotting every “i” and crossing every “t,” it’s just as important to think about what’s not on your agenda.

It’s not easy anticipating what you need for your event, especially if you’re new to event planning and don’t have much live-and-learn experience to rely upon. If you find yourself forgetting a few details, this guide is for you.

Here are a few things you’ll want to put on your event to-do list right away before you forget about them completely.


Visible wastebaskets should be everywhere in your event space for two reasons:

First, if people don’t see where to put their trash (especially in the bathroom), they’ll put it in the most convenient place they can find, which is usually not a trash can.

Second, the more waste receptacles you put out, the less chance you have of them overflowing during the event and having to take out the trash while the party’s in full swing.

Place them near food and beverage areas, at every exit, in restrooms, and throughout major thoroughfares so you can keep trash in its place and have less cleanup after the event.

Directional Signage

Do every guest a favor and take the guesswork out of finding the restroom, reception area, food areas, or other important places at your event. Large directional signage can prevent your guests from getting frustrated, especially if they can’t find an attendant to ask.

A good rule of thumb is to place signs at major intersections or hang them overhead for the best visibility.

Bad Weather Backup Plan

Don’t let bad weather rain on your parade! If you’re planning an outdoor event, it’s better to have a backup plan than to cancel it all together. It could be an indoor venue, big tents, or even an alternate date. But canceling it completely could be expensive, especially if you placed deposits with vendors, and they won’t give you a refund.

Special Needs Accommodations

From handicap accessibility to devices for the hearing impaired, your event should be enjoyable for all. You don’t want to scramble last minute trying to widen walkways for wheelchairs. Take some time to see how you can make your event more accommodating to guests with special needs.
